Job Summary

Responsible for capital requests and project administration. Monitors capital requests to ensure the project meets capital criteria. Oversees capital approval workflow and resolves issues. Prepares the biweekly Capital Committee meeting agenda along with relevant supporting documentation; takes meeting minutes. Recommends and executes appropriate Commitment Control budget journal entry corrections as needed. Maintains capital tracking logs as appropriate. Maintains individual LaborLytics User IDS, User Groups. Assists in review and distribution of biweekly Labor Resource Management reports; maintenance of master tables.

Job Specific Duties

  • Monitors capital requests to ensure the project meets capital criteria. Assists requesters as needed in providing accurate capital expense information and documentation. 
  • Facilitates capital request process approval workflows; investigates and resolves workflow issues. 
  • Prepares and distributes Capital Tracking Requests Approval Status report weekly. 
  • Liaises between operational leaders, Capital Committee members, and Decision Support Team with regard to: scheduling meetings; assisting with leader questions/calls/emails during the input process; and other assistance with capital budget data as needed. 
  • Prepares and distributes the biweekly Capital Committee meeting agenda along with relevant supporting documentation. Attends biweekly Capital Committee meetings and records Committee meeting minutes. 
  • Creates the capital Project/Activity IDs and Commitment Control budgets in PeopleSoft. Maintains capital tracking logs as appropriate.  
  • Investigates PeopleSoft capital project Budget Check errors. Recommends and independently executes appropriate Commitment Control budget journal entry corrections as needed such as overriding de minimis budget check errors in PeopleSoft.
  • Independently advises and recommends to the requestor appropriate resolutions for Budget Check errors. 
  • Creates and maintains LaborLytics User IDs and groups. 
  • Assists in preparation of routine and ad hoc capital reports. 
  • Independently performs budget increases that are the lesser of 5% of the original budget or $5,000. 
  • Collaborates with the Accounting Financial Analyst in charge of Asset Management. 

 

 

Qualifications

Minimum Job Requirements

  • Associate's Degree in Accounting, Finance, Business Administration, or related field
  • 3-5 years of experience in an Administrative Assistant or Coordinator role

Knowledge, Skills, and Abilities

  • Strong knowledge of PeopleSoft Project Costing and Commitment Control, and/or Axiom (aka Kaufman Hall) Capital Planning and Tracking preferred.
  • Numerical ability to perform arithmetic calculations quickly and accurately.
  • Constant and consistent attention to detail to ensure completeness and accuracy of information, e.g. numbers reconcile, all required supporting documentation is provided.
  • Strong organizational skills to handle a variety of tasks, managing multiple tasks effectively, meeting deadlines, and adapting to changing priorities.
  • Possess good problem solving and excellent customer service skills.
  • Able to establish necessary professional relationships, and interact effectively with internal and external customers.
  • Clerical ability to recognize pertinent details in tabular form, proofread names and number, and avoid perceptual errors in computation.
