Epilepsy Program Manager / COE (Full Time, Day shift)

Job Summary

Partners with the Epilepsy Program Medical Director, Neurodiagnostic Medical Director, Epilepsy Surgeon Program Leader, Neurodiagnostic Leadership and Nursing Leadership in developing, expanding, improving, and sustaining the program across the continuum at a recognized local, regional, and national Center of Excellence (COE) status.
Responsible for the development, implementation, review and revision of Epilepsy Program standards, policies, procedures, and protocols. Builds Program structure to meet all selected accreditation body(s) standards, national registry elements, and U.S. News and World Report standards to achieve top ranking.
Is synergistic with the Brain Institute and NCHS's Research Department and supportive of epilepsy publications and presentations. Develop individual opportunity for presentations and publications.
Is collaborative with the Service Line Director in building alignments, internal and external referral sources, market share, program growth, appropriate cost, expansion of program scope with the latest medical and surgical capabilities, and capital equipment needs including building business cases. Tracks and improves program financial outcomes. Maintains an Epilepsy Program Scorecard and provides oversight to Performance improvement including customer satisfaction / perception of care.
Oversees and directs the Level IV (Medical and Surgical) Epilepsy Center of Excellence Program of the Brain Institute to ensure quality services for both internal and external customers. Serves as a resource to and collaborates with others to advance the Health System's mission.  Provides for Program Design consistent with a Center of Excellence standards and a US News & World Report top 15 ranked Center. Works through influence with aligned operational departments to achieve the Center's development, improved outcomes, targeted growth, and clinical excellence including:  Neurology, Neurosurgery, Neuro Diagnostics, Neuropsychology, EMU, Radiology, Surgery, and Therapies. Supportive to operations through talent management, recruiting, expenses, and budgets.  Initiates and manages project-driven and committee initiatives. Leads in Quality Improvement dashboard and QI initiatives. Represents our Epilepsy Center in community forums and with referral sources. Oversees NAEC Accreditation with the Manager of Neuro Diagnostics and highly supportive to US News and WR annual submission of data and information. Responsibilities include researching, interpreting, sharing data, and financial matrix that supports operational decision-making. Co-leads the Epilepsy Committee with Dyad Medical Director partner. 

Job Specific Duties

1.       Serves as an active member of the Brain Institute Leadership Team.

2.       Develops financial, growth, satisfaction, and clinical metrics to reflect performance of the department

3.       Directs/participates in special projects that promote the growth, efficiency, and operations of the program.

4.       Collaborates with the multi-disciplinary team to develop operational and strategic goals and objectives consistent with the National Association of Epilepsy Centers – Level 4 and The Joint Commission Disease Specific Certification in Pediatric Epilepsy.

5.      Works in a Dyad leadership role with The Epilepsy Medical Director to coordinate the development, implementation, review, and revision of Epilepsy Program standards, policies, procedures, and protocols based on current clinical practice guidelines. 

6.      Co-leads the Epilepsy Leadership and Operations Meetings 

a.       Agenda, minutes

b.       Reports for clinical metrics/core measures
c. Contributes to and supports execution of the Center and Institute's Strategic Plan
d. Maintains a clinical dashboard including outcomes metrics in the clinical, functional/QOL, and perception of care domains
e.   Identify trends / patterns and opportunities for improvement, maintaining two QI initiatives ongoing
f. Supportive to the financial dashboard and improvements against targets

 

7.       Reviews all epilepsy related order sets annually/on-going with Medical Directors, Nurse Navigator, and epilepsy committee.

8.       Monitors compliance with epilepsy metrics / scorecard.

9.       Monitors compliance with national epilepsy regulations and guidelines.

10.   Identify/participates in performance improvement initiatives.

11.   Partners with Clinical Education to identify and address educational needs for staff:

11.   Rounds in epilepsy units with Unit Manager and collaborates regularly with the ICU Manager, Neurodiagnostic Manager, Radiology leadership, and Ambulatory / Clinic leadership.

12.   Ensures full collaboration with Research and Medical Directors for desired outcomes with the National Registry Data like PERC, Epilepsy Learning Health System (ELHS), PedsQL or selected QOL survey(s), The National LAANTERN Registry, NIH RO1 Grant studies, multicenter studies, and all epilepsy research.

13.   Supportive and engaged with COE presentations, publications, and talks.

14.   Accountable for U.S. News and World Report Neurology metric reporting and outcomes to achieve top ranking.

15.    Ability to work ideas through from idea to implementation and evaluation.

16     Strong analytical and problem-solving skills.

Qualifications

Minimum Job Requirements

  • Bachelor's Degree in Business, Health Services, or related field5
  • 5-7 years of progressively advanced healthcare experience
  • Proficient in Microsoft Office (Word, Excel, and PowerPoint)

Knowledge, Skills, and Abilities

  • Master's degree preferred, Nursing / CNS / APRN / PA / MBA.
  • Lean certification and experience preferred.
  • Ability to apply mathematical techniques, logical, and analytical thinking to interpret operational/financial data, prepare capital/operating budgets, assess performance improvement, and solve a broad range of problems.
  • Ability to interpret, adapts to, and reacts calmly under stressful conditions.
  • Ability to relate cooperatively and constructively with patients, families, peers, physicians, and other Health System personnel.
  • Knowledge of purchase through payment process. Starting from supply chain procurement through accounts payable check issuing and then posting to the general ledger.
  • Familiar with financial systems including one or more of the following: general ledger, finance modules, materials management/procurement modules, and activity modules.
  • Ability to communicate effectively both verbally and in writing.
  • Able to query data from a database through Microsoft Access or Crystal Reports.
  • Excellent time management skills.
  • Able to effectively monitor and develop the abilities of subordinates.
  • Able to maintain confidentiality of sensitive information.
  • Knowledge of outlying data resources in order to analyze business proposition and referral patterns of physicians.
  • Ability to pull and manipulate reports readily from various resources.
  • Knowledge of TM&E and pay polices.
