Office Supervisor - Mt Sinai (Full Time, Day Shift)

Job Specific Duties

• Provides supervision to the operation and ensures the department is properly staffed. 
• Ensures office runs smoothly and monitors coverage through scheduling system and submits work orders for appropriate phone, computer, equipment repair, and services. 
• Achieves financial objectives by assisting with annual budget; scheduling expenditures; analyzing variances; initiating corrective actions. 
• Manages accounts receivable and accounts payable functions and make certain that the process runs smoothly. 
• Assists the Leader in developing work methods and procedures to ensure economy and efficiency of operation of the department. 
• Evaluates situations searching for ways of improving methods and making them more time and cost efficient. 
• Ensures office staff and procedures are handled effectively by providing training, coaching, and counseling. Provides in-service to staff. 
• Monitors inventory of supplies and orders as needed. Reconciles and supports the inventory of supplies and reorders when necessary. Reconciles and supports the purchase order process as requested.
• Maintains all reports, personnel records, licenses, and permit renewals as needed for the office and/or NCHS. 
• Reconciles and supports the maintenance of timecards, payroll reports, and attendance monitoring. Ensures attendance related practices comply with Hospital policies.
• Develops, maintains & reconciles department budgets and keeping track of on-going & up-coming needs are met within financial constraints by being resourceful and controlling unbudgeted expenses. 
• Verifies and submits invoices in system for payment. 
• Participates in various meetings with Leaders, prepares agendas, confirms meeting attendees, and takes minutes. 
• Works with NCPS Leaders on various business/office projects to compile, research, and analyze data related to practice operations. 
• Processes payroll, handles the maintenance of employee records, edits KRONOS transactions in a timely manner & within established guidelines, ensuring accurate and efficient record keeping.
• Updates and maintains policies, guidelines, and documents within Policy Tech systems. Ensures documents are up to date and in compliance. 
• Provides exceptional customer service to clients & co-workers by responding in an acceptable time frame as scored in the inter-departmental survey. Enhances the customer's perception of NCPS. 
• Responsible for the business/office operation to include contracts, communication, etc. for multiple cost centers while maintaining each Leader up to date on status.
