Heart Station Coordinator (Full Time, Days)

Job Summary

Responsible for greeting patients and families upon arriving to the Heart Station department and directing them to the appropriate area. Verifies exam authorization, patients' exam order, and checks patient into the Heart Station system. Available as a resource and communicator for physicians, patients, department, and hospital personnel, etc., regarding the overall daily operations of the Department. Answers phones, maintains communication with all Heart Station department staff, and resolves issues that may arise. Uploads/digitizes outside images for comparisons and prints CDs upon request.

Job Specific Duties

  • Creates an optimum patient and family experience. Proactively communicates any delays to the family in a timely and compassionate manner. Works to increase SEI scores. 
  • Acts as the control point for all incoming phone calls. Works to resolve incoming requests, issues with doctor’s offices, and coordinates the delivery of results to outside offices. 
  • Handles all stat calls and problem solves as needed. Ensures Imaging physician communication is expedited. 
  • Requests prescriptions and/or referrals for exam upon patient arrival to the Heart Station department and verifies order is signed by a physician. 
  • Complies with governmental prescription requirements relative to receiving acceptable hospital services (i.e. stat readings or review positive readings). 
  • Digitizes outside films into MERGE. Ensures appropriate prior films and reports are available for comparison with present study. 
  • Floats, covers, and provides assistance to department; optimizes patient flow.
  • Works collaboratively with nursing to ensure patient flow is maximized to meet service standards. Performs service recovery when applicable to maximize patient and family satisfaction. 
  • Rotates through all patient waiting areas to gain greater knowledge of all modalities. 
  • Utilizes LEAN methodology to improve the family experience. Actively involved in continuously improving the patient experience and service recovery process.
  • Processes payroll, handles the maintenance of staff employee records, edits KRONOS transactions in a timely manner and within established guidelines, ensuring accurate and efficient record keeping. 
  • Assists with obtaining and processing PO's and invoices. 

Qualifications

Minimum Job Requirements

  • 1-3 years of customer service and/or healthcare experience

Knowledge, Skills, and Abilities

  • High school education or equivalent preferred.
  • 1 year of experience in healthcare environment preferred.
  • Bilingual: English and Spanish highly preferred.
  • Knowledge of HIPAA requirements and patient information preferred.
  • Proficiency in Microsoft Office including Word and Excel preferred.
  • Electronic Health Systems (EHS) experience preferred.
  • Ability to learn new software applications.
  • Excellent communication, phone etiquette, and customer service skills.
  • Excellent time management and prioritization skills.
  • Able to adapt and react calmly under stressful conditions.
  • Able to handle multiple assignments, set priorities, and meet deadlines.
  • Ability to represent department/function in a professional, courteous and  efficient manner.
