Job Summary:
Assists the Medical Education Department in the administration and daily operations of the rotating/visiting residents, medical students and other Medical Education duties.

Qualifications

Minimum Job Requirements:
  • 3 or more years of administrative experience or equivalent required
Knowledge/Skills/Abilities:
  • Bachelor’s Degree or some college courses preferred
  • Previous Medical Education experience preferred
  • Ability to communicate verbally and in writing
  • Able to adapt and react calmly under stressful conditions
  • Able to set priorities and meet deadlines
  • Able to prioritize  and successfully handle multiple concurrent tasks
  • Strong problem solving skills
  • Strong attention to detail

Job Specific Duties:
  • Serves as liaison between the department and numerous affiliated institutions. Ensures that rotators’ schedules and processing documents are in order and compliant with system policies.
  • Processes 15-20 rotating residents and ensures all documentation (background checks, immunization records, EMR, training licenses, NPI, security requests, etc.) are all in order and in compliance.
  • Coordinates rotations and paperwork for visiting residents/fellows; schedules, obtains clearance from the specialty department, and ensures evaluations are completed and returned to their program.
  • Plans orientation for rotating residents, medical students, and visiting residents.
  • Participates in data gathering and accurate entry into the IRIS system, a national residency system/ database that is tied to federal GME funding for the system and which is subject to ongoing audits.
  • Serve as liaison and point of contact for third year medical students from St. George’s Medical School and Nova, PA students, AA Students, shadowers, and visiting 4th year medical students.
  • Processes medical students’ orientation, IT access, EMR training, scheduling, oral exams, evaluations, & L6 verification of training forms. Maintains communication with students’ registrar’s office.
  • Prepares and submits quarterly billing statements/invoices to respective schools for teaching services of medical students. Tracks and monitors payment receipt.
  • Sets up the AAMC VSAS System for visiting medical students’ rotations application submission and processing.
  • Uploads and assigns meal allowances for medical school students.
  • Assists with the Pediatric Residency program interviews as needed.
  • Responsible for accurate data entry of Continuing Medical Education recurrent series including trauma Conference, Quality & Evidence-based Radiology, and Faculty Development.
  • Assists with set up, badges, sign in sheets, and onsite registration of PPGC and Board Reviews.
