Job Summary

**Please note this located is in Naples**

Responsible for delivering and expanding mental health services and meeting the objectives of the program. Provides assistance with scheduling, registration, technical troubleshooting, reporting metrics, and remains available to all users to support with technology adoption and other needs.  

Job Specific Duties

  • Prepares letters, reports, spreadsheets, project plans & presentations that may be highly sensitive and confidential in nature and finalize in a timely manner to meet deadline requirements along with coordinating material to meet production deadlines and goals.  
  • Participates in various meetings, prepares agendas, confirms meeting attendees, take minutes, facilitates team touch-base meetings, and manages bi-weekly meetings, and reports out metrics.
  • Coordinates and follows-up on all initiatives and projects as assigned. 
  • Resolves administrative problems by analyzing information, identifying and communicating solutions. 
  • Participates in projects and meetings, coordinating schedules, meetings and teams. Acts as organizer and ambassador for Psychologist, Telehealth, Physicians, and other associates. 
  • Provides exceptional customer service to clients and co-workers by responding in an acceptable time frame. 
  • Identifies strategies to meet program metrics, such as tracking no show rate and developing strategies to decrease no show rate.  
  • Collaborates with data and grant specialists on quarterly/annual reports. 
  • Initiates off campus visits and audits.
  • Educates and on-boards new practices providing education throughout the year. 
  • Gathers data for general information purposes or special reports.  Responsible for data management for program and grant metrics. 
  • Continuously evaluates operations and shares process improvement with team. 
  • Act as liaison between Pediatricians and mental health providers to facilitate live consultations.  
  • Trains Pediatric Residents and Fellows on program procedures.  

Qualifications

Minimum Job Requirements

  • 2-4 years of Administrative Assistant or secretarial experience
  • Advanced proficiency with MS office package (Word, Excel, PowerPoint, Visio, and Outlook)

Knowledge, Skills, and Abilities

  • High school education or equivalent preferred.
  • Ability to react effectively to unplanned circumstances and demands.
  • Ability to organize, manage, and complete complex projects and tasks with multiple parties under tight deadlines/timeframes.
  • Independent and strong problem-solving skills.
  • Ability to communicate verbally and in writing.
  • Ability to work independently and flexibly with minimal supervision.
  • Able to adapt and react calmly under stressful conditions.
  • Able to maintain confidentiality of sensitive information.
  • Able to prioritize and handle multiple concurrent tasks.
  • Strong attention to detail.
  • Able to represent the department/function in a professional, courteous, and efficient manner.
