Security Operations Project Lead (Full Time, Days)

Job Summary

Provides administrative oversight for coordination and execution of multiple and simultaneous projects using collaborative cross functional teams. Develops, deploys, educates on SOP, and leads process improvement projects and huddle boards. Ensures training and licensure/certification compliance, staff evaluation completion, and monthly reporting submittals. Ensures quality services for both internal and external customers consistent with organization's visions and values. Maintains stakeholders apprised on progress and gaps through the use of multiple communication venues such as in-person presentation, video recorded messages, or management/staff written communication.

Qualifications

Minimum Job Requirements

  • Bachelor's Degree in Business, Healthcare, or related field required within one year of hire. 
  • Active and valid State of Florida driver’s license with an approved driving record pursuant to our policy and maintained throughout employment
  •  3+ years in an administrative healthcare environment
  •  2 years in a healthcare environment
  •  Intermediate level in Microsoft Word, Excel, PowerPoint, Share Point, and Outlook

Knowledge, Skills and Abilities

  •  3+ years using Lean methodologies and tools highly preferred.
  •  Prior experience with development, submission, and /or post award management of grants preferred.
  •  Ability to publically present information to staff using selling and persuasion skills.
  •  Ability to learn and step into any role to support i.e. dispatch, badge, shuttle, limited patrol, etc.
  •  Ability to speak Spanish highly preferred in support of patient needs.
  •  Excellent oral/written communication, interpersonal, and organizational skills.
  •  Able to deliver engaging, informative, and well-organized presentations.
  •  Able to adapt and react calmly under stressful situations.
  •  Able to handle multiple assignments, set priorities, and meet deadlines.
  •  Able to work in a team environment.
  •  Able to work independently and flexibly with minimal supervision.
  •  Ability to represent department/function in a professional, courteous, and efficient manner.
  •  Ability to follow complex written or verbal instruction to solve problems.
  •  Able to maintain confidentiality of sensitive information.

Job Specific Duties

  •  Leads cross functional project teams through phases & resources, and produces documentation necessary to plan, define, and implement the assigned projects.  F: Daily/ T: 3 hours R: Individual
  •  Ensures day-to-day functions of departments are operated efficiently and effective office processes are established, maintained, and regularly reviewed. F: Daily/ T:  2 hours R: Individual
  •  Partners with key stakeholders to optimize and successfully execute department's activities.  F: Daily/ T: 1 hour R: Individual
  •  Facilitates the planning, organization, and activities of the department's processes to ensure efficient and effective work flow/coordination.  F: Daily/ T: 1 hour R: Individual
  •  Gathers data for general information purposes and/or special reports and contacts employees, departments, agencies, and individuals for additional documentation as necessary.  F: Daily/ T: 30 minutes R: Individual
  •  Performs research and analysis (reports and data) for related projects and specific issues.  F: Daily/ T: 30 minutes R: Individual
  •  Responsible for drafting letters, reports, project plans, presentations, memoranda for committee meetings, etc. Provides administrative support.  F: Daily/ T: 1 hour R: Individual
  •  Ensures compliance of staff completion of required licensures, certifications, and education. Follows up proactively to ensure 100% compliance.  F: Monthly/ T: 3 hours R: Shared
  •  Ensures the following metrics are meeting expectations: Overall & 1st year T/O, interdepartmental customer service survey, employee engagement scores, etc. F: Weekly/ T: 1 hour R: Shared
  •  Communicates process improvements using selling and persuasion techniques via multiple means i.e., Management Forum, MOR, committee meetings, video recording/conferencing, newsletters, etc. F: Monthly/ T: 2 hours R: Shared
