Supervisor Operating Room Systems (Full Time, Day shift)

Job Summary

Responsible for applying systems analysis principles in coordinating and supervising the development of specific automated programs and projects. Oversees the planning and implementation of healthcare information systems as it applies to the department(s), which includes the development and revision of comprehensive data management systems, inventory, materials management, preference cards, tissue tracking, and report writing. Responsible for the oversight of timely and efficient scheduling of surgical/procedural cases and the coordination of efforts by all impacted departments while providing the most efficient use of related resources. Responsible for directly supervising the OR Scheduler and Charge Specialist. 

Job Specific Duties

  • Accountable for reporting metrics & statistics including usage and volume reports for OR, MPS, & Same Day Surgery. Creates turnover, first case starts, and other reports as required. 
  • Maintains oversight to ensure accurate entry of surgical/procedure/patient case information into Surginet appointment book.
  • Manages block schedules (releases, block dates in Compass). 
  • Proactively joins external user groups to learn and become subject matter expert in all systems and list serves for Cerner and Surginet. 
  • Acts as liaison with IT to create user solutions utilizing Business Objects and Surginet. 
  • Collaborates with all credentialed surgeons and offices to efficiently schedule non-block cases into open times. 
  • Serves as subject matter expert on the coordination of scheduling for all surgical service areas. 
  • Functions as a key resource representing the departments in planning, implementation, and evaluation of information solutions. 
  • Sets up all user profiles for tissue tracking and coordinates all IT system access for Cerner and Surginet. 
  • Coordinates monthly meeting with physician offices to collaborate on scheduling process improvements. 
  • Communicates project status and trends through effective reports/formats via formal and informal discussion/presentations that support the evaluation of system approaches. 
  • Accountable for continuous process improvement and Lean methodology with all IT systems. Serves as departmental subject matter expert for all reporting and system needs. 
  • Enhances and maintains current systems, applications, and serves as the subject matter expert for all applications utilized by the Operating Room. 
  • Works with OR leadership to support the tracking of contracts and Vendormate oversight. 
  • Assists Surgical Services Leadership Team with administrative duties as needed.
  • Responsible for supervising the OR Scheduler and Charge Specialist.
  • Coaches and counsels direct reports on job performance, making recommendation for corrective actions. 
  • Responsible for revenue cycle functions such as supply builds in People Soft and CDM request. 

Qualifications

Minimum Job Requirements

  • Associate's Degree in Business, Healthcare, or related field 
  • 3-5 years of experience with Information systems (e.g. troubleshooting in Cerner, Business Objects, etc.)
  • 3-5 years of medical, hospital, or physician office scheduling experience
  • 3-5 years of experience in an OR administration or similar setting

Knowledge, Skills, and Abilities

  • Expertise in report writing; Business Objects reporting experience preferred.
  • Knowledge of EMR and Cerner preferred.
  • In depth knowledge of medical terminology.
  • Basic knowledge and use of computer and printers and/or the ability to learn appropriate software applications.
  • Knowledge of computer entry and word processing.
  • Ability to communicate verbally and in writing.
  • Able to maintain confidentiality of sensitive information.
  • Ability to remain calm under stressful situations.
